SMAART Recruitment seek an experienced Executive Assistant to join a unique engineering business.  Based in Keysborough, this role involves supporting the CEO and working autonomously within a small team. Key Responsibilities
  • Executive Support: Manage the CEO’s calendar, schedule meetings, appointments, and travel while reducing administrative workload.
  • Communication Management: Screen and prioritise emails, phone calls, and correspondence, ensuring clear and professional communication.
  • Meeting & Event Coordination: Organise and coordinate meetings, conferences, and events while maintaining strong relationships with internal and external stakeholders.
  • Administrative Operations: Oversee office functions, including payroll, accounts payable, preparing invoices, and coordinating services like freight and repairs.
  • Document & Project Management: Prepare and edit presentations, reports, and meeting agendas, ensuring accurate record-keeping and continuous office process improvements.
  • CEO & Team Support: Act as the first point of contact for external inquiries, assist with research and data analysis, and provide proactive support, including occasional travel.
About you?
  • 3 years’ experience in an EA position supporting C-level executives
  • Currently hold PR or Australian Citizenship
  • Good knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Extremely organised with the ability to multi-task, prioritise a busy workload and take instruction
  • Strong interpersonal and communications skills with ability build and nurture relationships
  • Ability to work autonomously and as part of a small team
